Cancellation Policy for Treks and Tours

All cancellation requests must be submitted in writing to [email protected]. Please note that deposits are non-refundable. Additional cancellation fees apply depending on the date of notification relative to your tour departure:

  • 12 weeks or more before departure: Cancellation fee equals your deposit.

  • 12 to 8 weeks before departure: 60% of the total tour price is due.

  • 8 weeks to 5 days before departure: 80% of the total tour price is due.

  • 5 days to 48 hours before departure: 90% of the total tour price is due.

  • Less than 48 hours before departure: 100% of the total tour price is due.

These fees are necessary due to the significant upfront expenses incurred to organize your trek. Unfortunately, no exceptions can be made. However, we will gladly provide a cancellation letter for your travel insurance provider to assist in recovering some of the costs.

 

Terms & Conditions

  • Medical conditions & fitness: You must inform True Mountain Traveler of any medical issues or allergies at the time of booking. Participants for treks should be in good physical condition. If in doubt, consult your physician.

  • During the tour/trek: If you wish to leave the group or campsite on the trek for independent activities, you must notify your guide. Any service concerns should be reported immediately to the guide for resolution.

  • Payment of balance: All remaining balances must be paid prior to the briefing (the night before the tour). Payments can be made in cash (undamaged bills) or via We Travel & PayPal (subject to a 5.75% service fee).

  • Student discount: To receive the student discount, you must inform us at the time of booking and present your original Green ISIC card at the checkpoint. No other student cards are accepted.

  • Passport requirement: The original passport used at the time of booking is required at the checkpoint. If renewed, both the old and new passports must be presented.

  • Permits: Once purchased, permits are non-refundable, non-transferable, and dates cannot be changed. This is a regulation of the Peruvian government. Deposits will be forfeited in case of changes or cancellations.

  • Transportation: All tours/treks include return transportation to Cusco. Machu Picchu train schedules are subject to availability.

  • Illness or injury: If you are unable to continue due to illness or injury, a porter will accompany you to a safe location. Medical services or helicopter evacuation are at your own expense. We will assist in rejoining your group at Machu Picchu when possible. No refunds will be provided, but a medical certificate can be issued for insurance purposes.

  • Responsibility & liability: True Mountain Traveler will take reasonable care to ensure safety and employ qualified staff. We accept responsibility for the actions of our employees but not for third parties. Clients are responsible for their personal belongings and rented equipment.

  • Unforeseen circumstances: True Mountain Traveler is not responsible for unfavorable weather, strikes, accidents, natural disasters, illness, injury, or loss of personal belongings. Travelers must carry adequate insurance to cover such events.

  • Alternative treks/tours: In extreme cases where the Inca Trail or any trek/tour is officially closed for safety reasons, an alternative trek/tour will be offered.
